Sharks, Recs, & Techs: Who Makes the Rules, Who Holds the Tools, & How We Work Together

What does it mean to “archive a record”? Ask a records manager, a lawyer, or an IT professional, and you’ll likely get three very different answers, each delivered with confidence and maybe a touch of exasperation. While lawyers craft the "rules" and IT holds the "tools", records managers are often caught in the middle, acting as translators, referees, or even peacekeepers in the great battle of information governance.

Join us for this lively and enlightening session where we’ll unravel the mysteries of how these fields approach records, why they sometimes seem to speak different languages, and how we can work together without sending each other into a frenzy. Through real-world examples, a dash of humor, and a few "Aha!" moments, you’ll leave with a newfound appreciation for your colleagues, and maybe even a few negotiation tactics to use at your next cross-departmental meeting!

About the Speaker

Tyrene Bada, MLS, CRM (she/her) is a Systems Analyst for the City of Beaverton, wrangling information governance with the precision of an archivist and the enthusiasm of a librarian on a treasure hunt. She stumbled into records management at Portland Community College, where she built its first records program from scratch.

A past president of the Oregon ARMA Chapter, Tyrene served on the ARMA International Board of Directors (2020–2023) and now chairs the ARMA International Conference Education Committee. She also contributes to the ICRM as a CRM exam part writer.

Armed with a Master’s in Library Science from Emporia State University, she brings order to chaos—whether in data systems or theatre rehearsals. She proudly serves on the Board of Directors for the award-winning Broadway Rose Theatre and, as a professional cantor and chorister, spends her nights making music. In her downtime, you’ll find her napping or lost in Taylor Swift’s discography—her soundtrack for both productivity and relaxation.

OMG It’s Raining!!! Incorporating Business Continuity & Disaster Recovery in your RIM Program

The role of Business Continuity and Disaster Recovery (BC/DR) is to minimize the effects of outages and disruptions on business operations. BCDR practices enable an organization to get back on its feet after problems occur, reduce the risk of data loss and reputational harm.  When done well, BC/DR as a background process improves daily operations while decreasing the chance of emergencies.

Disaster Recovery is an established function in many IT departments with respect to individual systems. However, BCDR is broader than IT, encompassing a range of considerations, including identifying the records needed in crisis management, obligations of the organization and monies owed both by the organization and to the organization.

Cheryl Young and Ann Lewis will be presenting jointly to bring you insights on BC/DR from a practitioner's and a consultant's experiences.

About the Speakers

Ann Lewis: As an Enterprise Program Management (EPM) Expert, Ann specializes in corporate technology, and provides company guidance, governance and standardization processes for content and information management to ensure "best practices" tools and techniques are aligned with a companywide strategy.

With over 20 years’ experience in the field of records and information management, my area of expertise specializes in building "ground-up" records, document and content retention processes companywide via Enterprise-wide technology. The "Virtual" office she focuses on allows remote employees tracked access through appropriate ECM systems, uniformed processes, policies and procedures while ensuring information is available during and after a disaster.

Ann’s experience with disasters range from poor environmental controls in storage facilities resulting in moldy records to earthquakes, labor strikes and activity tracking programs that resulted in overwrites instead of appending new information.

Cheryl Young: Cheryl has been active in the records and information management field since 1984 as a business process consultant, trainer, records manager, information analyst, contracts manager and project manager with specific expertise in RIM projects and Lean process analysis.

Ms. Young is a current Information Governance Professional, certified Scrum Manager, certified Scrum Product Owner, certified Technical Trainer, former Certified Information Professional, certified Accounts Payable Manager (with Distinction), and a Certified Document Imaging Architect+.  She also holds certificates in Lean methodology, Enterprise Content Management and Electronic Records Management. Cheryl was twice the President of the Orange County Chapter of ARMA International, a past Chair of the ARMA International 2004 Conference in Long Beach and is past ARMA Pacific Region Manager, encompassing California, Arizona, Nevada, Utah and Hawaii.  She is also a member of the Project Management Institute, DAMA, ASQ, AIIM and IOFM.

Cheryl was on the teams which created the records retention module for Digitech PaperVision and for FileBound. She has developed retention schedules for charities, law firms and local government organizations as a foundation for RIM and IG programs.  She has also participated on RIM teams for Fortune 5 companies to build compliant, litigation ready programs.

Cheryl’s experience in business continuity planning and disaster recovery dates back to 1987 when a filing systems client’s ceiling fell in due to the weight of file boxes stored in the attic of the building.  Since then she has worked to remove as much of the paper from the process!  She is also a supporter of TreePeople in Southern California.

Auto-Classifying the Three R's: ROT, Records, & Retention

As the volume of data continues to grow within our corporate data environments, it becomes increasingly more complex to navigate, locate, and manage data in siloed data repositories. In this presentation we will delve into the transformative aspects autoclassification technology has on these three critical areas. Whether you are a records manager, IT professional, or data governance officer, this session will equip you with the knowledge to leverage autoclassification for a more robust and efficient records and information management system.

ROT: See how autoclassification technology can be used to identify and mange Redundant, Obsolete, and Trivial (ROT) information, and learn about the significant benefits of purging unnecessary data which not only frees up valuable storage space but also streamlines data management and enhances data protection efforts.

RECORDS: We will discuss the intricacies of managing records efficiently, ensuring that vital business information is accessible and organized. Through the power of autoclassification, learn how to enhance accuracy, compliance, and information governance.

RETENTION: Understand how to automate retention schedules, reduce manual workload, and ensure compliance with legal and regulatory requirements.

AI Governance: a How-To Guide

Given the rapid adoption of AI by organizations across all sectors, the question of how to govern it effectively is top of mind for Information Governance professionals. However, the slow pace of AI regulation combined with the sheer number of non-AI laws and regulations that touch on AI make implementing effective AI governance a challenge. In this session, Joe Shepley presents a step-by-step approach to building your AI Governance program in a practical, scalable way. From creating an inventory of your current AI systems and the business processes that leverage them, to developing a regulatory crosswalk to document the laws and regulations your organization is subject to, to defining the specific controls needed to govern AI effectively, you'll leave the session armed with what you need to help your organization get AI Governance right.
