Myths of the Paperless Office

Why do we still have paper in the workplace?  Are people just resistant to change?  To understand why people prefer paper for certain tasks, we need to understand what paper enables them to do. We must identify the activities and interactions that are not yet well-supported by other available technologies.  More than 20 years ago, behavioral research scientists published a series of important studies, and summarized the results in a book titled The Myth of the Paperless Office (MIT Press, 2002).  Those conceptual tools have helped innovators to develop new technologies, and will also help us frame our discussion.

We'll consider several examples of recent progress toward paperless business processes – in specific industries, professions, and workplaces.  In some applications, we have already achieved the “paperless office”, or at least the “paper-less process”. Coming attractions could include fully “paperless” filing of all US Federal tax returns by 2026!  In contrast, we will also explore areas where paper will continue to serve important functions: as a medium for information display, review, comparison, and collaboration – and even for records retention and preservation.

About the Speaker

Mike Casey helps clients enhance their policies and procedures for compliant and effective management of records and information. From 2003 to 2023, Mike served as a Senior Consultant and VP at Contoural, Inc., leading RIM and IG consulting engagements for clients across a broad range of industries. Earlier work included IT research and advisory services at Gartner, as well as technical and management roles in engineering, product management, quality, and regulatory compliance. Mike has an MBA and a BS in Physics, both from Santa Clara University, and has spoken at conferences in Asia, Europe, and North America.

Making an Effective Pitch for Information Governance

Information Managers need to be able to present important initiatives to senior management to get buy-in. How can you present your initiatives in a way that will resonate and obtain approval? This workshop will focus on the elements of a successful pitch, why some resonate with their audience more than others, and how to convey your ideas succinctly and with impact. Using records management and information governance as a case study, participants will be briefed on the topic, gather into teams, and working through three iterations, will design and present their pitches.

US Regulators Lift the Curtain on Data Practices with Assessment, Reporting, & Audit Requirements

Following the lead of Europe, four US states currently require businesses to conduct and document assessments to evaluate and mitigate risks in connection with new and ongoing personal data processing activities, and at least eight additional states will do so before the end of 2025. California, which applies its requirements beyond traditional consumers to human resources and business-to-business contexts, requires regulatory filings of assessments. On March 8th, draft California assessment regulations were moved forward toward preparation for public comment, as detailed here. These new obligations will raise the curtain on companies' IG practices for regulators, and thereby necessitate robust data protection programs. This presentation will discuss regulators' plans for more aggressive enforcement of state privacy laws as discussed here and here, and what we can do as Information Governance professionals to ready ourselves.

Alan is a thought leader in digital media, intellectual property, data privacy and protection, and consumer protection law, with three decades of relevant experience to address the intersection of law with technology and data. 

Maggie Ledbetter is the Director of Professional Services at Exterro, the leader in helping companies identify their data and manage it compliantly and defensibly. She has been with the organization over 17 years and helps legal, compliance, privacy, and IT executives in the areas of IG, data mapping, data minimization, and 3rd-party diligence. She has helped hundreds of leading companies develop and maintain actionable data inventories, risk profile hundreds of 3rd-party vendors, and develop documentation to demonstrate compliance with data privacy and cybersecurity regulations including GDPR and CCPA. Her extensive knowledge of IG and data privacy requirements enable her to help global customers navigate complex data governance challenges.

Knowing Your Business Impact

A Business Impact Analysis (BIA) is a valuable tool for all levels of organizations, but even if your organization hasn't completed an org-wide BIA, you can still benefit from conducting your own. This session will go over how a BIA increases your resilience in the face of an adverse event and can lead to a better plan to continue operations through a disruption. We will review what is needed to conduct a BIA and how to use the results.

Learn about cybersecurity from an FBI Special Agent! This session will cover the FBI's role in investigating cyber crime, an overview of cyber threats, current trends, and an overview on how to defend against cyber threats and mitigate risks. 

About the Speaker

Supervisory Special Agent (SSA) Bryan Willett, CISSP, has been an FBI Special Agent for almost 20 years. He has spent the majority of this time investigating cyber violations, and has worked in two field offices and at FBI Headquarters, Cyber Division. He is a licensed attorney and has earned several IT Security certifications, including the CISSP. He is skilled in developing and implementing comprehensive, results-driven cybersecurity strategies to counter evolving global cyber threats, including safeguarding critical infrastructures. He currently works in the FBI's Los Angeles Field Office.

Information Governance and Artificial Intelligence

Artificial intelligence (AI) tools have garnered much interest over the past few years. Organizations such as Harvard talk about AI's future, ZDNet says business success and growth involve AI, and The White House has issued an executive order in 2023 on the use of AI. AI is no longer an emerging technology, and we must be prepared to address AI as IG/RIM professionals. This presentation will discuss the relatively new ISO standards that cover Artificial Intelligence, the features of AI, and how Machine Learning (ML) is part of AI. Further, how AI tools such as Chat GPT, Google's Bard, and others can be used at work, expectations of those tools, and how fast these tools are coming will be explored. Last, AI considerations for the organization and tips on how the IG/RIM professional can prepare for AI success will be shared.

About the Speaker

Andrew Ysasi (EE-SA-SEE) MS, CRM, IGP, CIP, CIGO, FIP, CIPM, CISM, PMP, has 25 years of experience in executive leadership and information governance.  As Vice President of Advocacy for VRC, Andrew mentors, educates, and volunteers with the IG community on behalf of VRC.  In addition to VRC, he served on the Executive Committee for the ICRM from 2020-2023, is an instructor at San Jose State University's MARA program, and a resume expert with Admovio®, where his work is published on CIO.com.  In the past, Andrew contributed to ARMA's IGBOK and Wiley's Information Governance, 2nd Edition.  Andrew has a MS in Administration from Central Michigan U., a BS in Information Technology, certificates in Data Analytics from the Wharton School at the U. of Pennsylvania, and Data Privacy Strategy from Cornell U.

About the Speaker

Ryan has been an active contributor to the Information Management and Technology profession for more than 27 years and is the Director of Information Governance at the SJW Group. Before that, he was employed with Baker Hughes as a Senior Director, overseeing the Records & Information Management Program based in Houston, Texas. He received his MBA from the U. of Texas at San Antonio, has a BA in Administrative Leadership from the U. of Oklahoma, has multiple industry-related certifications, and has participated in developing many foundational resources supporting associated information-related communities. Ryan has also served as Past President of the ARMA International Board of Directors and was inducted into the ARMA Company of Fellows in October 2022.
